Custom Stainless Steel Fasteners: RFQ Checklist

Daniel
With experience in fastener manufacturing and export sales, we specialize in bolts, nuts, screws, self-drilling screws, fully threaded rods, and customized fastening solutions for construction, machinery, automotive, and industrial applications.
To request a quotation for customized stainless steel fasteners, please provide revised drawings, material specifications, thread details, key tolerances, inspection requirements, and quantity for each item. Add the delivery destination and any sample or tool requirements so that the supplier can specify what is included in their price.
This list can assist OEM buyers and importers in preparing specifications and reviewing supplier responses. If the materials, critical dimensions, or acceptance criteria have not yet been determined, please request estimates listing these assumptions. Confirm final specifications before issuing production orders.
1. Identify parts and control drawing revisions
Give each fastener a part number. Include drawing number, revision, release date, and unit, and match each line of inquiry with the correct document.
Provide a PDF with annotated dimensions, and if available, also provide a CAD file that the supplier can use. Explain whether the files are different and which document controls them. Including applicable product or drawing standards and their specified versions.
Check if the drawing defines:
• Head, driver, body, shoulders, and other related geometric shapes.
• Total length, thread length, and any non threaded parts.
• Key dimensions, individual tolerances, relevant benchmarks, and general tolerances.
• Material, mechanical requirements, surface condition, and inspection instructions.
For the modified standard parts, please identify the basic standards and the modified features. Before quoting, request the supplier to list any conflicts or proposed deviations.
If you only have samples or sketches, please identify unknown features and request drawing approval. Samples should not be considered as complete material, performance, and dimensional specifications.
For custom fasteners, thedrawing-to-part manufacturing processcan help you organize the drawing, sample, and specification details for review before production.
2. Specify material and mechanical requirements separately
If the project requires 304 or 316 stainless steel, please specify the grade and applicable material specifications. List separately the required mechanical properties or applicable fastener performance levels. The material name itself cannot determine the mechanical properties of the finished fastener.
Do not approve names provided by 304/316, A2/A4, or others to be interchangeable only in the supplier's description. Have the responsible technical personnel check the proposed name against the complete project specifications.
Provide operating temperature, exposure to moisture, salt or chemicals, contact with other materials, and assembly requirements while material selection remains open. Solicit technical review suggestions. Approve the selection before placing the production order; Avoid asking suppliers to explain "outdoor grade" or "corrosion-resistant"

3. Define threads, fit, and critical tolerances
Specify thread system, nominal diameter, pitch or per inch thread, tolerance class, and required thread length. Specify right-hand or left-hand threads where required on the drawing. If interface review is required, please include drawings or specifications of matching components.
Mark the size of the control coordination or function and provide its acceptance limit. If assembly inspection or measurement is required, please determine the method and components to be inspected. Request the supplier to confirm the scope of inspection and list any proposed exceptions.
If tolerance or interface requirements are not resolved, please have the responsible technical personnel define them. Record proposed changes on approved drawings or specifications before production release.
4. Agree on surface condition, inspection, and recording
Explain the required delivery conditions, including applicable cleanliness, burrs, edges, appearance, and marking requirements. If passivation, electropolishing, or other treatments are specified, please include their specifications and acceptance criteria. Request confirmation of the availability and cost of actual parts.
Determine the scope of inspection: characteristics to be inspected, acceptance limits, methods, sampling requirements, and stages to be inspected. List the necessary documents for samples and shipment, including any necessary connections between material records, inspection results, and batch identification.
Require the supplier to determine the document type, coverage, issuer, and cost. Resolve the gap before placing an order; General statements such as' including certificates' do not define what will be delivered.

5. Individual samples, production quantities, and tool costs
For each part number, provide the sample quantity, initial production quantity, and expected repeat batch. Mark annual demand as forecast unless it is a committed order quantity.
Require separate pricing for parts, samples, tools, settings, and any specified inspections or documents. Confirm the minimum order conditions and quantity price discounts for the quotation specifications.
If tools are needed, reach an agreement on ownership, storage, maintenance, and costs after design changes. If samples or first piece items are required, please define the submission package and approval criteria before authorizing production. Record approved drawing versions and features; The approval of size samples should not be used solely for the approval of untested materials or mechanical requirements.
If you are requesting a quotation from JJ Fastener Factory, prepare your drawings and completed inquiry details, thensubmit your drawing for a custom fastener quote. The final quotation depends on the confirmed specifications, manufacturing feasibility, inspection scope, order quantity, and delivery requirements.

6. National packaging and delivery conditions
Provide detailed information on packaging quantity, required protection, and labeling, such as part numbers, drawing revisions, quantity, and batch references. Determine any handling or cleaning requirements.
Include a schedule of destinations and requirements. For Incoterms, please specify the designated location and version. Require suppliers to determine their currency, quotation validity period, payment terms, freight assumptions, and exclusions.
Define the starting point of each quotation delivery cycle, such as drawing approval, sample approval, or receipt of agreed payment. Confirm whether the reported date refers to the preparation for shipment, actual shipment, or arrival at the destination of the goods.
